These Terms & Conditions govern all enquiries, bookings, payments, trips and services offered by Himalayan Locals through https://www.himalayanlocals.com, WhatsApp, phone, email or authorised sales channels.
By making an enquiry, paying a booking amount, confirming a seat or joining a trip, you confirm that you have read, understood and accepted these terms along with our Privacy Policy, Refund Policy and Cancellation Policy.

3. Booking process
- Customers may enquire through the website, WhatsApp, phone, email or authorised partner channels.
- Our team shares trip details, itinerary, inclusions, exclusions, pricing, availability and payment instructions.
- A booking request is treated as provisional until the required booking amount is received and acknowledged by Himalayan Locals.
- After payment verification, we issue written confirmation by email, WhatsApp or other agreed channel.
4. Payment schedule
- For most trips, an advance booking amount or percentage of the package cost is required to reserve a seat.
- The balance payment must be completed within the timeline communicated for the specific trip, generally before departure.
- Last-minute bookings may require 100% payment before confirmation.
- Failure to pay the balance by the due date may lead to release of the seat and application of cancellation terms.
- All prices are quoted in Indian Rupees unless otherwise stated. Taxes, gateway charges or bank fees may apply where applicable.
5. Seat confirmation policy
A seat, room, vehicle slot, motorcycle, permit application or guide allocation is confirmed only after successful payment and written confirmation from Himalayan Locals. Screenshots, verbal requests or incomplete payment attempts do not confirm a booking.
For fixed departures, seats are limited and allocated on a first-paid, first-confirmed basis. For private and custom trips, availability depends on hotels, transport, permits and local operations.
6. Trip inclusions and exclusions
Typical inclusions
- Accommodation, meals, transport, guide support, permits, motorcycles, backup vehicle or activities only where explicitly mentioned in the selected package.
- Operational support and local coordination for the itinerary sold.
Typical exclusions
- Flights, personal expenses, meals not listed, tips, insurance, optional activities, emergency evacuation, medical costs, entry fees or anything not specifically mentioned as included.
- Additional costs caused by weather, roadblocks, route changes, delays or customer-requested upgrades unless expressly included.
7. Customer responsibilities
- Share accurate personal, contact, medical and travel information at the time of booking.
- Arrive on time for departures, briefings, transfers and activity start points.
- Follow guide, road captain, trek leader, driver and local authority instructions.
- Respect local culture, communities, wildlife, environment, monasteries, border areas and fellow travellers.
- Avoid alcohol, substance abuse, reckless behaviour or any conduct that puts the group or operation at risk.
- Carry appropriate clothing, footwear, medication, identity proof and personal essentials for Himalayan conditions.
8. Adventure activity risk acknowledgement
Motorcycle expeditions, SUV journeys, treks, high-altitude travel, snow routes, remote valleys and adventure activities involve inherent risks. These may include altitude sickness, fatigue, injury, road accidents, landslides, snowfall, river crossings, wildlife encounters, weather exposure, limited medical access and communication gaps.
By booking or participating, you acknowledge these risks and agree to take personal responsibility for your conduct, fitness, equipment choices and adherence to safety instructions.
9. Medical fitness declaration
- Customers must disclose relevant medical conditions, allergies, injuries, medication, pregnancy, respiratory issues, heart conditions, high-altitude sensitivity or any condition that may affect participation.
- Himalayan Locals may request a medical fitness declaration or doctor clearance for high-altitude, trekking, motorcycle or remote expeditions.
- We reserve the right to refuse participation or modify activity involvement if a condition creates safety concerns for the traveller, group or crew.
- Customers are responsible for carrying personal medication and obtaining suitable travel, medical and evacuation insurance.
10. Permits and documentation responsibility
Many Himalayan regions require identity proof, inner line permits, protected area permits, vehicle documents, driving licence checks, nationality-specific permissions or local registrations. Customers must provide accurate documents within the timeline requested.
- Indian travellers must carry valid government-issued photo ID as advised.
- International travellers must carry passport, visa and any required permits or copies.
- Motorcycle riders must carry a valid driving licence and any required riding documents.
- Delays, denial of permits or inability to travel due to incorrect, expired or missing documents are the customer's responsibility and may not be refundable.
11. Route changes and operational flexibility
Himalayan travel is dynamic. Routes, stays, activities, sightseeing order, transport type and day plans may change due to weather, landslides, snowfall, road closures, traffic, local festivals, strikes, political situations, border restrictions, government orders, health concerns or safety judgement by the operator.
Such changes are made to protect safety and continuity of service. They do not automatically qualify for refund, compensation or cancellation unless expressly covered under our Refund Policy or Cancellation Policy.
12. Force majeure
Himalayan Locals is not liable for delay, alteration, cancellation, additional cost or inability to perform caused by events beyond reasonable control, including:
- Natural disasters, earthquakes, floods, landslides, avalanches, snowfall, extreme weather and road closures.
- Political unrest, strikes, curfews, border restrictions, government orders or administrative shutdowns.
- Pandemics, epidemics, quarantine rules, health emergencies or transport disruption.
- Accidents, breakdowns, supplier failure or local conditions that affect safe operation despite reasonable planning.
13. Operator rights
- We may refuse, suspend or remove a participant for unsafe behaviour, intoxication, abuse, harassment, non-payment, document failure or violation of guide instructions.
- We may change accommodation, vehicles, route, activity sequence or operating partners where needed for safety or service continuity.
- We may cancel or postpone a trip if minimum group size is not met, conditions are unsafe or critical services become unavailable.
- We may correct website errors, pricing mistakes or itinerary inaccuracies before booking confirmation.
14. Liability limitation
Himalayan Locals acts as a travel operator and coordinator for trips that may involve hotels, homestays, transport providers, drivers, guides, activity vendors and local authorities. We take reasonable care in selecting partners, but we are not liable for independent acts, omissions, delays or failures of third-party providers beyond our control.
To the maximum extent permitted by law, our liability for any claim is limited to the amount paid by the customer for the specific service giving rise to the claim. We are not liable for indirect loss, loss of enjoyment, missed connections, personal expenses, emotional distress, business losses or consequential damages.
15. Image and media usage consent
During trips, our team or partners may capture photographs, videos, testimonials or group moments for documentation, safety, promotional and social media purposes. By joining a trip, you consent to reasonable use of such media by Himalayan Locals unless you inform us in writing before the trip that you do not wish to be featured.
We will not intentionally use sensitive, private or disrespectful imagery. Customers who share their own photos, reviews or testimonials grant us permission to repost or use them with reasonable credit.
16. Intellectual property and website use
All website content, itinerary copy, images, designs, logos, route plans and brand assets belong to Himalayan Locals or credited licensors. They may not be copied, resold, scraped, redistributed or used commercially without written permission.
17. Governing law and jurisdiction
These Terms & Conditions are governed by the laws of India. Any dispute shall be subject to the jurisdiction of competent courts in India, with preference for resolution through good-faith discussion and, where applicable, arbitration under Indian law.
